Playgrounds is committed to providing a safe, fun & welcoming environment for all. Please alert us if you have any questions or concerns, either in person or by email to info@kwplaygrounds.ca. We appreciate your feedback!
Periodically Playgrounds has closures; we will make our best effort to communicate these closures to our customers. Please check our website and social media to remain informed of upcoming closures.
While Playgrounds makes every effort to provide inclusive and adaptive coaching styles for children with special needs, participant safety is our primary concern. Any child who does not have a sufficient attention span to enable them to follow the coach's instructions, harasses other athletes or puts their own safety and/or that of others at risk may be asked to withdraw from the program or attend with a support person (as applicable). Any unused fees paid in advance will be subject to that program’s refund policy.
All participants or adults assisting young children to participate must fill out a waiver. In the interest of safety, we cannot allow any unregistered children or adults in the training area or on any of the gym equipment.
Children under 6 require parental supervision during Kids Open Gym and parties/events.
When registering, please respect the stated age restrictions for that program. If you have any questions regarding age limits, please reach out to us at info@kwplaygrounds.ca. Thank you for your understanding and compliance.
We reserve the right to cancel or change class times due to insufficient numbers, as well as make changes necessary in order to comply with any Covid-19 or other mandated restrictions. Notice will be provided to those affected in advance. If a class is cancelled due to insufficient enrollment, we will offer a full refund or credit for remaining classes if there are no suitable substitute class times.
For registration refund requests (a full term of classes): For those who have paid for the session in full, refunds requested prior to the third scheduled class post registering will be granted less a 15% admin fee. Refunds requested after the third class has taken place post registering will be granted 50% of the cost of the remaining classes for that session, less any classes taking place within 48 hours of the requested refund. For session registrations made via a payment plan, refunds will be granted based on the amount paid at the time of refund request in accordance with this policy. Payment plan registration refunds that would otherwise grant a 50% refund for remaining classes (less any classes taking place within 48 hours of the requested refund), where less than or equal to 50% of the balance that would be refunded has been paid will have future payments cancelled only.
For drop in classes and open gym refund requests: refunds requested more than 48 hours before the class or program will be issued less a 15% admin fee. No refunds will be issued if the refund request is within 48 hours of the scheduled class or program. If you wish to reschedule a booked drop in class or Open Gym, please contact us with as much advance notice as possible, and we will do our best to accommodate your requests.
Reservations for Open Gym and Stay & Play made with Open Gym 10 passes can be self-cancelled up to 24 hours in advance, which will return the pass to the account. Within 24 hours of the scheduled program, the pass cannot be returned to the account and will be considered used. Unused passes can be refunded less a 15% admin fee within 1 year of purchase date.
If refunds for camp programs are required for any reason, refunds requested more than 1 week before the camp will be issued less a 15% admin fee. If the refund request is within 1 week of the camp, we will issue a 50% refund of the cost only. No refunds will be offered if the request is made within 48 hours of the program.
Classes and programs cancelled due to extreme weather, as well as classes or programs missed for personal non-emergency reasons will not be rescheduled or refunded. Please email info@kwplaygrounds.ca to discuss potential options if your child will miss several classes due to illness or injury.
Parties and events that are cancelled more than one week in advance of the event will not require further payment, but the deposit paid for parties and events is non-refundable. Parties and events that are cancelled in one week or less of the booking will also owe half the cost of the event. We ask that you provide as much notice as possible when cancelling, as parties fill up well in advance.
If you must reschedule a private lesson, please do so with at least 48 hours notice. Less than 24 hours notice will result in losing the credit for the lesson. If you are running late, the coach will be responsible only for teaching during the remaining lesson time.
See below for Gift Card refund & use policies
Gift Cards are non refundable. Purchases made with a gift card balance can be refunded to the gift card as applicable with our general refund policies. Gift cards are not redeemable for cash by the recipient.
Gift cards can only be used towards program and activity purchases at Playgrounds: They cannot be used to purchase other gift cards, booking deposits or merchandise. Gift cards can only be used for online purchases, and they cannot be used if an installment or subscription payment are in the cart.
A gift card recipient will be given the option to pay with their gift card balance when they checkout with their registration purchase. Gift card balances never expire!
Safety for all of our staff, students and parents is our #1 priority at Playgrounds! Please stay home when ill or injured to avoid spreading of illness or further injury.
If several classes will be missed due to injury or illness, please email info@kwplaygrounds.ca to discuss further options. We reserve the right to send an athlete home or have them sit out of class if injury or illness is affecting their ability to participate in the class, or if COVID-19 symptoms present during activities at Playgrounds.
Typically, if most buses are cancelled and/or schools are closed in the WRDSB, we will be closed that evening at Playgrounds. However, in cases where the weather is forecasted to drastically improve over the course of the day, we will plan to run classes as usual, and notify those who would be attending class that day. If the weather worsens leading up to classes, we will further notify those to be in attendance that day and close for the evening.
In cases where the weather is fine in the morning but a strong weather warning comes into affect during the day, we will communicate any closures as far in advance of classes starting as possible. For weekends, we will base any closures off anticipated inclement weather warnings.
Notification of closures (or non-closures, as described above) will be provided by email to those who would be attending on the affected day, as well as posted to our instagram and facebook pages.
We will, to the very best of our ability, cancel classes only when appropriate. However, our top priority is the safety of our participants and staff. We reserve the right to cancel classes as we deem necessary for this reason. While we will make a reasonable effort to communicate with those affected by closures, it is your responsibility to check your email and/or our social media leading up to your classes.
No refunds or reschedules will be given for classes cancelled due to inclement weather.
Parties and events cancelled due to weather induced closures may be exempt from our usual party and event cancellation policy. We will address this on a case by case basis, and attempt to reschedule the party or event to another available date.
Playgrounds takes the privacy of our customers seriously. Please be considerate of the privacy of others when filming, photographing or posting images/video of your children online that contain images of other people.
We completely understand the desire to share your child's experiences in Parkour with your social circle, or wanting to have photos & videos of them participating for your own memories. Due to the nature of our programs, it is tricky to obtain images & video that do not contain other children. Please ask the parents around you first, and block out faces of those you don't know when posting to social media. There may be some folks who are not okay having their child captured at all; we ask in this circumstance you ensure any photos or videos do not contain their child in particular.
As mentioned in our waiver, please note that Playgrounds does periodically take photos & videos during our programming for marketing and internal use. However, we strive to utilize angles and positions that conceal identity of those captured. If you have serious concerns with your child appearing in our marketing material (or if you would like to be featured), please let us know.
Thank you for your understanding and cooperation when capturing your child's awesome moves on camera!
All staff, parents and students are to treat each other with respect and consideration. No bullying or harassment of any kind will be tolerated.
